DBS Application

What is It

The Criminal Records Bureau (CRB) checks are now called Disclosure and Barring Service (DBS) checks and should be an integral part of a clubs or organisations Safeguarding Children strategy. As part of that strategy you have a duty of care to ensure unsuitable individuals are prevented from working with vulnerable groups and children. This is the purpose of the DBS check.

The Disclosure is a document containing information held by the police and government departments. It enables organisations to check the background of applicants (paid or voluntary) to ensure that they do not have a history that would make them unsuitable for the post.


Disclosures provide details of an individual's criminal record, including convictions, cautions, reprimands and warnings held on the police national computer (PNC). They also enable organisations to check the individual against the government’s Disclosure and Barring Service’s (DBS’s) barred lists for children and/or adults at risk of harm. These lists might also contain information held by local police forces

Who Can Apply

Individual applicants can’t do a criminal records check on themselves; Only employers and licensing bodies can request a DBS check on your behalf.

Why Apply

As a club or organisation you have a duty of care to ensure unsuitable individuals are prevented from working with vulnerable groups, these groups include children. If your role as an instructor involves teaching, training and/or supervising children on a regular basis then it is considered to be a Regulated Activity. As such you should obtain or hold an Enhanced Disclosure Certificate.

You should also be aware that local authorities will ask for evidence of DBS checks when applying to hire halls etc.

Also parents have a right to believe that any club or organisation to which they entrust their children is safe.

When Does it Expire

A DBS check has no official expiry date. Any information included will be accurate at the time the check was carried out. Kyudokai recommends that you renew your certificate every 3 years.

Types of Record Check


There are 3 types of DBS check available to you. If your role as a Martial Arts coach, or teacher, involves the teaching, training and/or supervision of children on a frequent basis then it is deemed a regulated activity and as such requires an Enhanced Disclosure.



All DBS check applicants must be 16 or over.



If you wish to apply for a DBS Check you will need to complete a Self Declaration Form, which includes your consent for a DBS check to be carried out.
